Front Desk Receptionist
Location: Wauwatosa, WI
Contract: 2 months
Schedule: 40 Hours
Pay: $16-18/hr DOE
Front Desk Receptionist Qualifications:
- High School diploma or general education degree
- Professionalism: Polished presence and a warm and outgoing demeanor suitable for a global headquarters.
- Technical Savvy: Experience using Monday.com (or similar platforms) for task tracking and deadline management. High proficiency in Google Suite, particularly Google Forms, Sheets, and Calendar.
- Communications & Confidentiality: Excellent verbal skills, ability to interact confidently with everyone from manufacturing staff to C-suite executives. Helpful demeanor, willing to assist all visitors. Ability to draft professional email correspondence. High level of confidentiality needed.
- Reliable: Must be committed to the 8 a.m. – 4 p.m. schedule to ensure the front desk is never unattended during business hours.
- Relationship Focus: Ability to maintain trust and build relationships with security, employees, and visitors
- High Organizational Aptitude: Ability to manage "interrupt-driven" work (visitors/phones) while staying focused on long-term administrative projects.
- Multi-tasker: Manages multiple projects in a fast-paced, work environment, demonstrates strong attention to detail. Performs independent work with limited supervision.
- Position Requirement: This role is permanently seated at the front desk. Applicants must be comfortable working in a stationary reception environment while maintaining a high level of administrative productivity.
- Visitor Concierge: Greet visitors, ensuring a great first impression. Serve as the primary point of contact for all guests, including high-value customers, suppliers, job candidates and employees. Notify internal employees of guest arrivals immediately.
- Logistics & Mail: Act as primary point of contact for ordering/inventory of office supplies. Manage the intake and notification of incoming mail and packages via the front lobby.
- Lobby environment: Maintain a clean, professional, and welcoming environment in the main lobby at all times. Ensure the TVs are on and tuned to the appropriate videos or channels.
- Corporate Communications Support
- Project Tracking: Maintain the team's workflow in Monday.com, including input and tracking content metrics for the communications team; set automated reminders to keep the team on task and meeting deadlines.
- Event Support: Own the employee events calendar; create and manage Google Forms for event registration and RSVP tracking.
- Production Support: Coordinate scheduling for the corporate auditorium use and video shoots; provide hands-on setup support for town halls and large-scale employee events.
- Executive Support: Assist the VP of Corporate Communications with specific project tasks, including, document organization, and administrative overflow. Other duties as needed.
- Administrative Support: Provides general administrative support to management team, designated department(s), and/or functional area(s) duties include but are not limited to preparing, drafting, composing or editing incoming/outgoing correspondence, reports and other documents as requested.
